Hospital and Pharma Event Checklist
A simple timeline to keep things calm. Tick items off as you go, or hand the whole list to us.
8 to 12 weeks before
- Define the purpose: patient engagement, community outreach, launch or education
- Fix the date, venue and audience size, with approvals from your administration
- Confirm your clinical team, speakers and any compliance or accreditation needs
- Agree the budget and the planner's role
4 to 6 weeks before
- Finalise the program, workshop or conference schedule
- Plan registration, badges, check-ins and WhatsApp communication
- Arrange permissions for camps in apartments, parks, campuses or IT parks
- Prepare consent forms for photography
1 week before
- Confirm speakers, doctors and volunteers
- Share the final schedule and venue instructions with attendees
- Test registration, check-in and reporting
On the day
- Keep a clear route for patients and a quiet area for families
- Check in every attendee and record attendance
- Share the report and photos within 48 hours
