Questions to Ask Your Venue
Take this along when you visit a hotel, clubhouse, farmhouse or banquet hall. Tick each one off as you get a clear answer.
Space and timings
- How many guests fit comfortably, seated and standing?
- What time can our team start setup, and when must we clear out?
- Is there a lift or service entry for decor and equipment?
- Is there a backup indoor space if it rains?
Rules and permissions
- Are outside decorators, caterers and entertainers allowed?
- Are there rules on nails, tape, confetti, candles or open flames?
- What are the music and noise limits, and until what time?
- Do we need society, RWA or security permissions in advance?
Power, parking and access
- Is there enough power for lights, sound and food counters? Is a generator available?
- How many cars can park, and is there valet or drop-off space?
- Are washrooms and a green room or changing area available?
- Is the venue accessible for elders and anyone with limited mobility?
Food and service
- Is in-house catering mandatory, or can we bring our own?
- Is there a corkage or outside-food charge?
- Are tables, chairs, linen and cutlery included?
- Who cleans up after the event, and is that included?
Money and paperwork
- What exactly does the quoted price include, and is GST extra?
- How much is the advance, and when is the balance due?
- What is the cancellation and date-change policy?
- Is a security deposit needed, and when is it refunded?
